Choose a scope you can maintain
Decide whether this ledger covers your own spending, shared household costs or a specific project. Write down the start date and the accounts included. If you track only your shared account, the total is shared-account spending, not your entire household's spending. This distinction matters when you compare the ledger with a bank statement or ask AI to explain a monthly change.
Start with a few categories you will use to make decisions: housing, groceries, transport, recurring bills and everything else. A complicated category tree creates more work before it creates more clarity. You can split a category later when the distinction becomes useful.
Give each expense one place to land
Pick a capture habit: record a payment as it happens, keep receipts for a daily review, or work from a statement on a regular schedule. In Suiwise, you can type an expense, speak it or scan a receipt. Check the saved amount, date, currency and category, especially when a receipt contains a tip, discount or several totals.
If both partners record shared expenses, agree who records a payment. Two people entering the same grocery trip makes the household appear to have spent twice as much. A short note or agreed ownership rule helps you identify duplicates during review.
Reconcile once a week
Open the source statement in your bank's own app or website and compare the relevant settled transactions with your ledger. You do not need to enter your bank login into Suiwise. Look for missing records, duplicates, refunds and transfers. A transfer between your own accounts changes where money sits; it is not another grocery expense.
Keep a note of anything unresolved. Pending card transactions may change before settlement, so do not force two totals to match by adding an unexplained adjustment. A visible gap is more useful than a total that looks right for the wrong reason.
Review the pattern, then change one habit
At the end of the month, compare planned spending with the records in your chosen scope. Ask one practical question: which category changed, what caused it and what would you like to do next month? Avoid treating an incomplete first month as your normal spending baseline.
Bank-free tracking is a choice about access, not a promise that an app never processes financial data. Suiwise processes the records you submit, and AI, voice and receipt requests may use service providers. Read the privacy policy before deciding what to enter. Your first useful result can be modest: one clean week of records and one decision made with better context.
